DATA HANDLING
Effective date: September 3, 2026. This notice explains what Citation Scorecard receives, what it does in Microsoft Word, which third parties are involved, and what is retained for Citation Scorecard Web and Citation Scorecard for Word.
Documents are processed for the requested verification
Citation Scorecard processes submitted content to identify and verify supported citations and quotations, review supported citation formatting, and generate structured findings. Citation Scorecard Web receives an uploaded document or pasted text and processes it on Render. It does not write uploaded documents or generated reports to application-managed persistent storage. Completed web jobs and results remain in process memory for approximately 30 minutes; failed, cancelled, and timed-out jobs are retained for approximately 10 minutes and may disappear sooner if the service restarts.
External requests are limited to what the check requires
Citation Scorecard for Word does not upload the Word document file. It sends supported document text, the order and identity needed to keep body, note, and table stories separate, a limited indicator for block quotations, and request and session information needed to return results. It reads body paragraphs, footnotes, endnotes, table cells, limited style and indentation facts, local font emphasis, exact ranges and context needed for safe corrections, and Track Changes state where necessary. Headers and footers are not read. Raw styles, fonts, layout, authorship, comments, tracked changes, headers, footers, and document properties are not transmitted. Formatting and range evidence used to determine safe corrections remains inside Word. Optional status highlighting is a visual aid. Apply Change and Apply All are user-directed and successful corrections are native Word tracked revisions. Quotations are never changed automatically. If Citation Scorecard cannot prove the exact range, current text, context, formatting, Track Changes state, or post-change result, it refuses the operation. On Word for the web, case-name text replacement and case-name italicization remain review-only.
In the current controlled evaluation environment, the complete document and unrelated document content are not transmitted to the legal-data provider.
Information that may be processed
When a user requests a Scorecard, Citation Scorecard may process current Verification and Formatting results, concise Review History for each successful run in the current add-in/document session, a detailed finding snapshot for every successful run, suggested corrections, attempted-change outcomes and refusal reasons, local display times, and report labels. Failed or abandoned reruns create no Review History row or detailed run worksheet. The service returns the workbook for download and does not provide a long-term cloud Scorecard archive.

Provider credentials are handled separately
Managed credentials remain within protected backend processes. Credentials supplied by an evaluator are used for the applicable verification request and are not displayed in the resulting report or export.
Citation Scorecard is not a document repository
The controlled evaluation environment is designed to perform verification and return results, not to provide long-term document-management or report-storage services.
Hosting provider
Render hosts the Checkstead application and processes submitted web documents, pasted text, Word document text, results, and Scorecard rendering requests. Cloudflare provides domain name service and network delivery and proxies requests to the hosted application. Requests and responses, including submitted material in transit, pass through Cloudflare’s network. Microsoft operates AppSource distribution, Microsoft 365 administration, and Word; the Office JavaScript library request carries no Citation Scorecard document content.
